Privacy for interest submissions

What we store, why, and for how long

Placing your name on the interest list is not a booking, an invitation or a commitment. This page describes exactly what happens with the information you share on that form.

What we collect

Only what is needed to gauge interest and to contact you if a fitting event is ever planned: your email address, a coarse location (country + optional city), the applicant type, a preferred region, an optional JOYclub profile link, optional chosen names, and an optional short note. We do not ask for legal names, addresses or identity documents at this stage.

Why we store it

To measure honest interest per region, to contact you if a private event is planned near you, and — if you opted in — to send infrequent event-related updates. The list is never used for advertising, resale, or to build a public directory.

Legal basis

Your explicit consent (Art. 6(1)(a) GDPR). Consent is recorded as three distinct pieces of evidence: acknowledgement of this privacy notice, consent for processing your interest submission, and the optional opt-in for event updates.

Verification and access

We verify your email once via a short-lived link. Verification links become inactive after use, after 48 hours, and whenever a newer link is requested. Access to submissions is restricted to a small number of reviewers under strict role controls, with an audit trail on every sensitive access.

Retention

Unverified submissions are retained for a limited period and then removed. Verified submissions are retained only as long as your interest remains active. You can withdraw at any time using your withdrawal link (see below).

Withdrawal vs. full erasure

Withdrawal marks your entry as withdrawn from consideration and turns off event-related emails, while keeping the minimal consent evidence required by law. Full erasure removes personal fields entirely; request it by writing to the contact address on the imprint.

What we do not do

We do not publish attendee lists or applicant profiles, we do not share your data with unrelated third parties, we do not track you across other websites, and we do not use your submission for advertising.
